Residence Halls Close on Wednesday, May 8th at 10:00AM

Final Exam week is May 2, 2024 to May 7, 2024.

Non-Graduating Students: Must be fully moved out, have their key returned, and checked out by a staff member within 24 hours of their last final exam OR by May 8th at 10:00am - whichever occurs first. 

Class of 2024 Graduating Students: Must be fully moved out, have their key returned, and checked out by a staff member by May 11th at 4:00pm.

All Residential Students: Please plan ahead and make your travel arrangements now. 
Students who stay beyond the closing date without requesting Late Move Out or Summer Housing will receive a non-refundable $100 fine.

  • Plan your travel and move-out time now!
    • Non-graduating students are to move out of their housing assignment within 24 hours of their last final exam or by May 8, 2024 at 10:00am. 
    • Students may choose to either be checked out by a staff member or use the Express Check Out option.
    • Staff will be available to check students out May 6th to May 8th as follows:
      • In the building's staff office: 10:00am to 4:00pm and 9:00pm to Midnight
      • By appointment with your RA or RD/AC.
    • It is the student's responsibility to reserve a check out time with an RA at least 24 hours prior to leaving. If a student does not make a reservation or if they are leaving when a staff member is not available, they may use the Express Check Out Option.
  • Pack up your belongings:
    1. PRO-TIP: Don’t wait to the last minute! Packing up your belongings as you don’t need them will make packing a lot easier!
    2. Make sure you check:
      1. All desk and dresser drawers
      2. Behind and under furniture
      3. Any common closets, cabinets or drawers you share with roommates

  • Don’t want to bring it home? Donate it!
    1. We are accepting donations of new or gently used clothing, shoes, and accessories! Look for the donation bin in your hall’s lobby! These donations will be going to the Harstprings Foundation to benefit the Big Brothers Big Sisters program in Springfield, Massachusetts. 
    2. We are also accepting donation of new/unopened non-perishable foods for Rex’s Pantry!
      (non-refrigerated, canned or sealed, non-expired)

  • Clean your room!
    1. Talk with your roommate(s) about your expectations for closing BEFORE finals week!
    2. Remove all trash from all areas of your room (including drawers, cabinets, and closets). Trash must be brought to proper collection areas:
      • Acorn Complex: Use the dumpster in the Acorn Complex parking lot
      • Edgewood Complex: A dumpster will be outside of your residence hall
      • Hines Hall & Pouch Hall: A dumpster will be in the Hines Hall parking lot
      • Magna Hall: A dumpster will be in the Magna Hall parking lot
      • Trash left elsewhere will result in community-wide damage billing regardless of when students move out.
    3. Sweep/vacuum the floors in your room/suite/apartment

Non-graduating seniors staying between May 9th to May 11th:

You will need to fill out the "Late Move Out/Summer Housing" application to stay on campus. There is a $45/night charge for students staying past May 11th and it becomes a $125 or $175 per week charge after May 13th.

Students may select one of the two methods available for checking out of their housing assignment:

Staff Check Out:

All belongings and trash/recycling must be removed from the space before a staff member can check you out.
1.) Reserve a time to check out with an RA prior to you leaving. Ask an RA or AC/RD if you need help.

a. If the available check out times do not fit with your schedule, you may make a special
    arrangement with your RA at least 24 hours prior to you leaving.
b. If the available check out times do not work with your schedule AND the RA is not
    available for your special check out time, you will need to use the Express Check Out
    option.

2.) Go to RA Staff Office in your Hall lobby during your Check Out Reservation.

a. Weekdays, in your hall’s office: 10:00am to 5:00pm & 9:00pm to Midnight
b. Weekends, in your hall’s office: 9:00am to Midnight

3.) Go to your room with the RA for a preliminary inspection.
4.) Complete any paperwork needed with the RA.
5.) Return your key(s) to the RA.

Resident Advisors (student staff members) cannot and will not guarantee that a student moving out will not be billed for any damages found in the room. Only professional staff members are able to make this determination during their final walk-throughs of each room in al residence halls after all residence have left for summer break.

 

Express Check Out:
If a student is not able to make a Check Out Reservation that works with their schedule, or if they’d rather leave without engaging with staff, they may do so by using the Express Check Out process as follows:
1.) Remove all personal belongings, and trash/recycling from the housing assignment.
2.) Clean the housing assignment.
3.) On the last trip out of the residence hall, pick up an Express Check Out envelope from the Express Check Out box in the lobby of your residence hall.
4.) Complete all information on the Express Check Out envelope.
5.) Put your key(s) in the envelope, seal the envelope, and drop the envelope in the Express Check Out Box.

Students who use the Express Check Out Option waiver their ability to appeal and damage billing that is applied to their account after moving out.

 

IMPROPER CHECK OUT:
Students who do not check out with a staff member AND do not use the Express Check Out option will be billed an Improper Check Out Fee of $25 and a fee to change the lock on their former housing assignment and replace their key(s). This will be added to their damage billing and cannot be appealed.

Housing Assignment Damage Billing:
Damage Billing may be applied to a student's account if their housing assignment is left in such a state that required additional labor or materials to clean and make move-in ready for the next student living there. Damage billing is determined appropriate by the Professional Staff members who inspect all housing assignments after all students have moved out for the summer break. Overall damage costs are established by the Department of Facilities Management, and applied to a student's account by the Office of Residence Life. Resident Advisors (student staff members) are NOT able to determine if a student will or will not be billed, therefore 

If it is unclear which student is responsible for damages in a housing assignment, all students living in that space will be charged equally to cover that cost. The charges can later be appealed by the students in that space as long as it's then determined who is solely responsible for the damages and the responsible party absorbs the cost of labor and materials. 


Community Wide Damage Billing:
If community shared spaces are found damaged, all students living in that area/floor/residence hall will be charged equally to share the cost of labor and materials needed to restore damages. These charges cannot be appealed unless an appeal determines exactly who is responsible.

 

What Are Common Damage Bills:

Key Replacement $75 - $400 When a key is not returned, a lock change and key replacement fee of at least $75 will be applied to the student's account. Students living in the Acorn Complex may have an increased replacement cost as these areas have more complex locking systems and specialized keys. 
Item Removal $25/Item Students are expected to remove all personal belongings form their housing assignment, regardless of if the student is keeping, donating, or trashing the items. Students will be charged $25 per item removed by staff. If it is not clear which student in the space owns the item(s), the charges will be applied equally to all students living in that space. 
Trash/Recycling Removal $25/Bag Students are expected to remove all trash and recycling, and dispose of them in the appropriate areas for collection. Students will be charged $25 per 13-gallon bag removed by staff. If it is not clear which student in the space is responsible for the trash/recycling, the charges will be applied equally to all students living in that space. 
Mattress Replacement  $138 per mattress  Due to Massachusetts regulations regarding bed bugs and fire resistant materials, a mattress that is damaged must be fully replaced and cannot be patched. All mattresses were inspected in the Summer of 2020, prior to any spaces being occupied. If a mattress now has a tear, rip, or hole in it caused by the student it will be replaced and the student will be charged a $138 replacement fee.  

Damage billing includes but is not limited to the above.
Other damages may appear on a student bill if the professional staff inspecting the space finds it necessary. 

How to Avoid Being Billed:

  • Talk to your roommates before final exams to see when everyone is going home.
  • Use the Break Closing Room Expectations Guide to help make sure all roommates share in these expectations equally.
  • Don’t leave all the clean-up and trash to the last roommate leaving. If there are any issues in the housing assignment, all students living there could be billed regardless of when a student checks out.
  • Do not leave anything behind in the room. There should be no personal belongings, trash, or recycling left in the room, in any of the drawers, cabinets, closets, or behind/under any furniture. 


When Will I Find Out About Damage Billing:
Students who are charged for damage billing will be notified via AIC email by May 14th. 


If I Receive a Damage Bill, Can I Appeal It? 
Students who are charged for damage billing but know that they are not responsible for the damages AND they can identify a specific individual who is responsible, they will be able to appeal the damages via the Damage Billing Appeal Form. All appeals are required to be submitted no later than June 7th.

STUDENTS USING EXPRESS CHECK OUT: The ability to appeal damage billing is waived when a student uses the Express Check Out option, as agreed to on the Express Check Out envelope used to turn in housing assignment keys.
